Systemize! Administration Module

Features of the Administration module:

  • Manage your contacts and accounts - including grouping contacts by customizable market applications.
  • Control your master parts list, including revisions for each part, and grouping categories.
  • Create projects for use throughout Systemize!, for tasking, costing, and custom reporting functionality.
  • Edit the shipment methods, freight terms, credit terms, legal declarations, and serial numbers that users are allowed to use throughout Systemize!
  • Set up your company's site locations.
  • Manage user information, and form-specific permissions for each user.
  • View and share custom KPI Dashboard series.
  • Chat with other users, and see which of your users are currently on-line.

Contacts and Accounts

A large amount of different information can, optionally, be stored for each contact. Here, you can manage your master contacts list, including suppliers/vendors and customers.

Each contact is assigned within an account. This is a usefull way of grouping contacts within the same company or organization. You can let Systemize! automatically group contacts together into accounts based on the contact's company name, or you can manually choose an account in which to group any contact.

Complex custom reports can be generated, using data throughout the system - using the DataBuilder. For example, you can create a report to view customers you have sold a particular product to, in a specific region, in settable date ranges. Or you could view all contacts who owe you money. Virtually any business question can be answered using the DataBuilder.

Part Numbers

Your master part number list controls the parts that can be used throughout Systemize!, from price lists for quotes and orders, to stock transactions and work orders. Features of each part number are:

    upissuing to a new revision fast and easy - with the ability to control revision releases to specific users.
  • Each revision can have an unlimited number of suppliers/vendors and manufacturer contacts.
  • Ability to set minimum stock levels, re-order levels, and detailed costing break-down for each revision.
  • A "preferred supplier" can be set for each part number, making purchasing more efficient.
  • Parts can be grouped into customizable categories.

Projects

Company projects are created and maintained in the Administration module because they are used in Task Managment, Communication, Sales Management, and Change Control functions. They are used as a grouping mechanism for these functions in order to allow valuable costing and scheduling reports.

The priority of projects can be set using an easy-to-use drag and drop form, in which the higher the project in the list the higher the priority.

Universal Lookups

There are functions that are used in many different forms throughout Systemize!, and these items are set up via the Administration module:

  • Freight Terms - set the terms for shipping for use on purchase order, and order and service processing functions.
  • Shipping Methods - set the allowable shipping methods for your users to pick from.
  • Terms & Declarations - set the "fine print" that can appear on customer, and supplier, facing documents, such as purchase orders and invoices.

KPI Console Dashboard

The KPI Console is a dashboard that can be used to display real-time graphs, snapshots, and trending information about the data that is important to each user. Company wide series can be set up and shared by all users, and users can also set up their own private dashboard series.

Chat

An instant-messenger chat function allows users to see who's online, and instantly chat with any user in your company's system. This can be useful, for example, to request that another user performs an action that you are waiting for.
